D365 opportunity
Create the D365 opportunity (CT1) for an enquiry, send it to D365 and set up the enquiry folder.
Every enquiry Score quotes needs an opportunity in D365. Quote Hub pre-fills the CT1 fields during screening. Once you approve them, the record is added to the next opportunity import file for D365.
How it works
After screening, unless the enquiry is being declined, the Opportunity Agent drafts the opportunity. It appears as a Create D365 opportunity card under Awaiting your decision. Nothing is sent until you approve it.
Fills in the opportunity fields and explains each one on the card. It estimates revenue from Score's earlier supply of the same part number, then from purchase history plus a typical uplift, then from category averages. It bases the probability on the client's won/lost history, frame agreement coverage and competition. You review and edit before approving.
| Field | How it is filled |
|---|---|
| Topic | Client RFQ reference and a short scope. |
| Opportunity name | Client, site and scope. |
| Owner | The enquiry owner. |
| D365 account no. | The client's D365 account number, from client master data. |
| Prognosis | Hot (60% or more), Warm (30–59%) or Cold (under 30%). |
| Probability (%) | Between 5% and 95%. |
| Sales unit | The enquiry's sales unit, such as PER. |
| Sales process | Spares Quotation, PSV Supply & Overhaul, Valve Supply, or Mixed Valve & Spares Supply. |
| Est. revenue (AUD) | Estimated from price history, line by line. |
| Est. close date | The client closing date plus 30 days. |
The import file also carries the currency, the client RFQ reference and the SQ number as the external reference.
Step by step
Review the draft
On the enquiry, expand the Create D365 opportunity card. Check each field against the reasoning shown under the fields.
Edit if needed
Change any field on the card. The button changes to Approve with edits.
Approve
Select Approve. The opportunity is saved, queued for the next D365 import file and shown in the D365 opportunity panel on the Overview tab. The estimated revenue becomes the enquiry's Est. value.
If no draft exists, select Draft with AI in the D365 opportunity panel. Select Re-draft to ask for a fresh draft later.
After approval
The D365 opportunity panel shows the main fields and a status pill:
| Status | Meaning |
|---|---|
| Queued for D365 | Waiting for the next opportunity import file. |
| Sent to D365 | Included in an import file sent to the D365 import folder. |
| In D365 | D365 has confirmed the record. The D365 opportunity ID is shown. |
To correct a field, select Edit fields, change the values and select Save & queue for D365. The corrected record is queued again. Import files are built and sent from the D365 sync centre.
Enquiry folder
Approving the opportunity, or the client acknowledgement, creates the enquiry's folder in OneDrive under Sales Hub › Enquiries › client › SQ number and title. It has five sub-folders: 01 Client RFQ, 02 Clarifications, 03 Supplier Quotes, 04 Costing & TBE and 05 Quotation. The folder path and its files are listed on the Documents tab.
Client acknowledgement
Screening also proposes an acknowledgement email to the client contact, confirming receipt. Expand the card to edit the subject and body, then select Approve & send. See Screening.
Good to know
- An enquiry has one opportunity. Re-drafting and saving update it rather than create a second one.
- Edits made before an import file is built replace the queued record.
